Pipedrive vs Zoho CRM vs HubSpot for a Three-Person Services Team
Compare three CRM candidates against one service-team workflow. See plan checks, seat costs, evidence gaps and when to keep your current setup.
For three people handling incoming B2B enquiries, the first decision is whether your current system can reliably keep an owner, the missing information and a dated next action on every active purchase. If it can, another CRM needs a specific additional benefit to justify migration.
Conditional editorial assessment: investigate Pipedrive Lite for a manually managed paid pipeline; investigate Zoho Free if its documented three-user allowance and basic workflow may suffice; investigate a paid HubSpot configuration if you need its wider platform. Each remains subject to the checks below. There is no tested winner.
The workflow we are comparing
The common scenario is a fictional services team with three active users, its own incoming enquiries and one process. It needs:
- One record for each potential purchase, associated with the right contacts.
- A qualification note covering need, fit, timing and missing information.
- One responsible owner and a dated next action.
- A way to find records without actions and review outcomes.
- A basic report and an export that can be understood outside the product.
Email sequences, automatic routing, chatbot capture and full delivery management are additional requirements. They are not silently included in the starting scenario or subscription arithmetic.
Which plan meets each requirement?
The matrix distinguishes a documented starting point from untested implementation. “Check” is a purchasing dependency, not a statement that the product lacks a feature.
| Requirement | Pipedrive | Zoho CRM | HubSpot |
|---|---|---|---|
| Starting edition to investigate | Lite for manual pipeline | Free for basic three-user workflow | Paid configuration for three active users |
| Documented constraint | Email sync/automation appears in Growth | Free limited to three users | Free limited to two users |
| Qualification fields | Check field types and required-field needs in the intended plan | Check Free/paid custom-field scope | Check properties and intended seat scope |
| Owners and next actions | Trial assignment and due activity | Trial owner and task/reminder | Trial record-associated task |
| Report for the team’s exact question | Check report configuration and limits | Check edition’s standard/reporting scope | Check subscription and report scope |
| Usable export | Test fields, relationships, tasks and attachments | Test coverage and frequency restrictions | Test permissions, scope and relationships |
Sources and plan caveats: Pipedrive card, Zoho card, HubSpot card. The cards link current official documentation, reviewed 28 Oct 2026. No row represents an account-level test.
Seats, limits and total cost
Pipedrive’s observed annual USD Lite amount gives 3 × US$168 = US$504/year; Growth gives 3 × US$468 = US$1,404/year, before applicable taxes and add-ons. These are calculated examples from the official plan view, not a local quote. Lite and Growth are different requirement sets.
Zoho’s official Free edition permits three users. Paid edition amounts were not reliably captured. HubSpot’s pricing page limits Free to two users; a comparable three-person paid quote remains unresolved. A free account does not eliminate setup, training or administration costs.
Do not rank an unverified paid amount as zero. Write down subscription cost, setup hours, loaded labour cost, external support, integration charges and recurring administration. If these are part of acquiring customers, allocate their relevant share in the funnel calculator.
UK and US pricing notes
Use the actual billing country, currency, term, tax treatment and renewal basis. A USD public rendering is not a GBP offer, and currency selection is not an exchange-rate guarantee. Regional paid totals remain gaps where the cards say so.
For a UK business, make VAT assumptions explicit. For a US business, check the actual invoice and applicable taxes. Neither location removes the need to review the supplier’s data-processing terms and the team’s handling of client information.
What has been tested
Hands-on CRM scenario: NOT RUN for all three products. The comparison is based on current public documentation and editorial interpretation. We have not measured task completion time, migration accuracy, deliverability, conversion or user satisfaction.
Use ten fictional enquiries in each trial. Include an unassigned record, a deferred request and a confirmed mismatch. Have the second user find the next task without coaching. Export the agreed data and check it outside the CRM. Record the exact plan, steps, result and unresolved limitations. Only a completed protocol can support a future tested label.
When to keep your current setup
Keep it if the team can answer “who acts next, on what, and by when?” and can review unresolved records and export needed data. If the problem is an unclear qualification rule, fix that with the qualification guide first.
A migration becomes more defensible when a required action repeatedly cannot be done in the present system, the candidate passes the same task, and the cost and data exit are understood. Do not accept a generic “more automation” benefit without specifying the action and its failure mode.
Make the decision reviewable
Use the CRM Selection Checklist to record must-haves, plan evidence, trial results and three-person costs. Then revisit the relevant Pipedrive, Zoho or HubSpot card. All vendor links in this release are ordinary links; there are no paid rankings or affiliate trackers.
